We set set data retention period deadlines as per regulations and same is displayed on our website and communicated to our data subjects on an ongoing basis with a clear justifications for the time-frame. The decision is based on two key factors: the purpose for processing the data, and any legal or regulatory requirements for retaining it.
We do not keep data for longer than is needed since data shouldn’t be kept ‘just in case’ we have a need for it in the future. As long as one of the purposes still applies, we will continue to store the data. Otherwise we will delete it. Legal and regulatory requirements should also be acknowledged, because we may need to keep hold of data for reasons such as tax and audits, or to comply with defined standards and guidelines.
What we do with data past the retention period. We have two options when the deadline for data retention expires: we delete it or anonymise it. If we opt to delete the data, we ensure all copies have been discarded. whether it is in a digital file, hard copy or both. To comply with the Regulation, we will put the data ‘beyond use’. All copies of the data shall be removed from live and back-up systems.
Anonymised data. If that data is anonymised, however, the Regulation allows it to be kept for as long as an organisation wants. This means that the information cannot be connected to an identifiable data subject. Personal data can be retained for longer periods without being anonymised if the data is being kept for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes.
